Information we collect from you
When you ask us for a quotation or make a booking, we collect your name, telephone number and email address; the pick-up and drop-off addresses; the date and time of travel; your flight or train number where the journey involves an airport or station; the name and mobile number of the passenger if that is not you; any special requests you tell us about; and our correspondence with you.
If you pay by card, your card details are handled directly by our payment provider. We do not see them and we do not store them.
Why we use your information, and our legal basis
We use your information to arrange and carry out the journey you have booked, which is the performance of our contract with you. We keep booking and invoice records in order to meet our accounting and licensing obligations, which is a legal obligation. We use records of past journeys to handle complaints, to prevent fraud and to improve our service, which are our legitimate interests.
Who we share it with
We are a private hire operator. We carry some journeys ourselves and we arrange the rest through licensed operator companies. Where you have asked for the chauffeur to call ahead, we pass the passenger's name and mobile number to the operator carrying the journey, so that the driver can make contact. Where we meet you at the airport with our own name board, we do not pass a name at all. The operator gives us the driver's name and mobile number so that we can pass it to you. Nothing else about you is shared.
Every operator we use is under a written agreement with us. It limits them to carrying out our instructions, prohibits them from marketing to you or contacting you outside the booking, prohibits them from passing your details to anyone else, and requires them to tell us within 24 hours if anything goes wrong with your information.
We also use a payment provider to take payment, an accountant who sees invoices, and an email and IT provider. Payments are processed by Sage Pay, Metro Bank, Stripe, PayPal or Apple Pay depending on the method you choose, and we do not have access to your financial information on our side. We do not sell, distribute or lease your personal information to third parties, and we will not pass it to anyone else unless you have given us permission or the law requires us to.
Where we keep it, and for how long
Your information is held in our booking system, our accounting records and our email. We keep booking and invoice records for six years, which is the period we are required to keep accounting records. Enquiries that do not result in a booking are deleted after twelve months.
Marketing
We will only send you emails that relate to your own booking or account, such as information about important changes to your account or to the terms of your account with us. We do not send promotional emails, and we do not instruct anyone else to send them, unless you have opted in. If you have opted in, every email carries an unsubscribe link, and you can also opt out at any time by emailing info@fcchauffeurs.co.uk.
